Who we are

Esher Cars is a trading name of WESA LIMITED (company number 09166169), a private hire operator licensed by Reigate & Banstead Borough Council (licence 26/00979/OL). We are the controller of the personal information described in this notice.

Licensed operating base: Castle Court, 41 London Road, Reigate, Surrey RH2 9RJ.

Registered office: Taxi Office, Esher Railway Station, Station Road, Esher, Surrey KT10 8DY.

What we collect and why

Contact enquiries (name, email, phone number and your message) — to reply to your enquiry. Lawful basis: our legitimate interests in answering enquiries, and steps you ask us to take before a booking.
Bookings made by phone, WhatsApp, app or our online booking system (name, contact details, pick-up and drop-off, date and time, payment method and journey details) — to provide the journey you booked and to keep the booking and dispatch records our licensing authority requires. Lawful basis: contract and legal obligation.
Driver applications (name, address, contact details, driving experience, vehicle details and anything you add in comments) — to assess your enquiry and, if you proceed, to check your licensing before you are approved to drive. Lawful basis: steps at your request before entering a contract, and legitimate interests.
WhatsApp and telephone messages you send us — to deal with your booking or enquiry. Lawful basis: legitimate interests and contract.

Who we share it with

We do not sell your personal information. We share it only with: our booking and dispatch system provider (Cordic), our website hosting, database and email providers acting on our instructions, payment providers where you pay by card, Google where you choose to load an embedded map, and our licensing authority or other public bodies where the law requires it.

How long we keep it

Booking and dispatch records: 12 months, as required by our licence conditions, and then deleted.
Payment and accounting records: 6 years, as required for tax purposes.
Contact enquiries: 12 months from our last contact with you, and then deleted.
Driver applications: 6 months if your application is unsuccessful. If you are approved to drive for us, for as long as you drive with us and 12 months afterwards, unless the law requires us to keep records for longer.

Cookies

Essential cookies and similar storage keep the website working (for example remembering your cookie choice). Optional content, such as the embedded Google map on our Contact page, may set its own cookies and receives your IP address when it loads. You can change your choice at any time using the Cookie settings link in the footer.

Your rights

You can ask us for a copy of your personal information, to correct it, to delete it, to restrict or object to our use of it, and to receive it in a portable format. Where we rely on consent you can withdraw it at any time. To use any of these rights contact us using the details above. We will respond within one month.

Complaints

If you are unhappy with how we have used your information please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

We may update this notice from time to time. The current version is always on this page.
